This position is being recruited by Pakistan Single Window (PSW) on behalf of the National Agri-Trade and Food Safety Authority (NAFSA). NAFSA is being established as a strategic national initiative to strengthen Pakistan’s agri-trade ecosystem through enhanced regulatory oversight, facilitation, and modernization of food safety and trade processes. The selected candidate will be part of NAFSA’s foundational team, contributing to the development of systems, processes, and institutional capabilities.
Responsibilities:
- Plan, coordinate, and manage BoG and committee meeting cycles including annual calendar planning, agenda coordination, meeting logistics, notice issuance, and circulation of papers within prescribed timelines and procedural requirements.
- Coordinate compilation and quality checks of Board/committee papers by liaising with DG Office and Wings/Directorates; ensure completeness, correct formatting, and routing through required legal/financial vetting and approvals prior to circulation.
- Support preparation of agenda notes, briefing packs, draft resolutions, and decision papers, ensuring alignment with governance requirements and clarity for decision making.
- Ensure accurate and timely drafting of minutes and resolutions; maintain decision registers and secure repositories of approved agendas, papers, minutes, and resolutions with version control and controlled access.
- Maintain and administer an action-tracking mechanism for BoG and committee decisions; follow up with responsible units, track progress against timelines, escalate delays/risks, and prepare periodic status reports for the Director Secretariat and committee chairpersons as required.
- Support statutory and governance compliance tracking including disclosures/conflict of-interest documentation, composition/attendance records, reporting deadlines, record retention, and other compliance obligations under the Act and notified rules/guidelines.
- Coordinate inter-committee alignment and communication (as required), including maintenance of committee charters/ToRs, membership records, and governance documentation updates.
- Support governance process improvements including templates, SOPs, meeting packs, action log formats, and secure digital workflows (board portal/document management/e-signature) in coordination with ICT
- Handle confidential and sensitive matters with strict discretion; ensure integrity, confidentiality, and auditability of Secretariat processes and records.
- Perform any other secretarial/governance duties assigned by the Director NAFSA Secretariat consistent with NAFSA’s mandate
Requirements
Education:
- Master’s degree (sixteen years education) in Law, Public Administration, Management Sciences, Corporate Governance or related discipline.
Experience:
- Minimum 8 years of relevant experience in board/committee secretariat, corporate secretarial work, legal/compliance or governance environment
- Strong drafting and documentation management skills; ability to handle confidential records with integrity.
- Working knowledge of public sector governance practices, committee processes and compliance tracking.
