Office Assistant

Madiff – an international IT consulting company – is looking for an energetic, well-organized and proactive person to support the day-to-day operations of our office and help us expand the use of AI and Zoho across the company.

Your responsibilities:

• Managing the office and ensuring smooth day-to-day operations

• Handling documentation and correspondence

• Supporting HR, Sales and Project teams

• Organizing meetings, events and business trips

• Supporting onboarding and providing day-to-day assistance to consultants

• Providing ongoing support to the Business Director

• Working with Zoho Recruit – maintaining data, preparing reports, managing workflows and improving processes

• Using AI tools such as ChatGPT, Claude and other LLMs to automate and optimize daily work

• Identifying new opportunities to use AI across HR, Sales and Operations

Requirements

• Very good command of English, both spoken and written

• Good knowledge of MS Office

• Independence, strong organizational skills and ability to multitask

• Strong interest in AI and practical experience with tools such as ChatGPT or Claude

• Willingness to learn and develop skills in Zoho and process automation

• Proactive mindset and openness to new technologies

• Availability to work on-site in Warsaw

• Student status is welcome, but not required
